Job Summary
Under the direction of management, the Logistics Specialist III performs a variety of tasks in the coordination of fixed assets for the College and foundation including: data entry of assets, coordinating moves and transfers of equipment, disposition of surplus and generating asset reports in accordance with College, state and federal regulations. Interpersonal contacts primarily include College staff and external agencies involved in asset procurement, transfers, disposition and donations. Work results impact beyond the immediate work section. Responsible for producing journey-level work output on an independent basis subject to supervisory direction and review.
Distinguishing Characteristics
This is the third level of the Logistics Specialist series in which the work is more specialized in specific areas (i.e. asset management) that involves additional, in depth knowledge and skills.
Typical Duties and Responsibilities
- Responsible for ensuring accurate and reliable information of thousands of College assets utilizing knowledge of applicable federal, state and College regulations. Tasks include entering asset information into a computerized system, properly classifying assets, recording values, making adjustments in the system as needed (e.g., transfers, dispositions, etc.), monitoring the life of assets, and maintenance of College property.
- Acts as a resource for inquiries regarding College property. Applies knowledge of rules governing asset management to convey information to staff regarding a variety of topics including surplus and disposition of equipment.
- Coordinates disposition of items no longer deemed necessary for College use in accordance with College, state and federal regulations. Coordinates disposition of items through public sales via the internet or other government agencies.
- Conducts and assists with physical inventory counts and verifications.
- Tags fixed assets located throughout the College district.
- Prepares and generates financial and other various reports (including documentation for the college’s annual financial report) for departments and College administration as requested.
- Ensures proper coordination and assists with surplus and equipment moves to and from various locations throughout the district and other external agencies.
- Accesses and retrieves information from the College mainframe.
- Cross trains and serves as backup in other Central Services functions.
- Maintains a clean and safe workplace. Follows safety procedures and uses proper lifting techniques to ensure personal health and safety. Participates in initial and ongoing training in the safe handling of chemicals and other potentially hazardous materials.
- Performs other related duties as assigned.
Work Environment and Physical Requirements
Work is mainly performed in an office environment with occasional exposure to adverse conditions such as hazardous road conditions, exposure to elements while operating a forklift or other material handling equipment. Noise and exposure to heat and cold weather conditions are also common.
Lifting up to 50 lbs. Loading/Unloading of vehicles as well as two-person lifts in the movement of surplus (i.e. chairs, tables, lateral files, office equipment) and miscellaneous items as well as office moves. Must have the ability to drive and operate delivery vans, trucks, forklifts, pallet jacks and hand trucks.
Minimum Qualifications
High school diploma or equivalent; two years of experience related to inventory and asset management. Basic knowledge of computer data entry/retrieval procedures.
Must possess and maintain a valid driver’s license to operate a motor vehicle in the State of Oregon, and possess an acceptable driving record including three years of accident-free driving, with no recent moving violations. Must acquire Forklift Operator certification within six months of employment.
Knowledge, Skills, and Abilities
Knowledge of:
- Safe material and hazardous material handling;
- Material data sheets;
- Applicable local, state and federal laws and regulations;
- Basic workplace health and safety procedures;
- Vehicle power train, body, chassis, and electrical systems to administer preventive maintenance and service program.
Skills in:
- Driving a truck in highly congested and structural areas;
- Using a computer to perform basic operations;
- Operating a forklift, pallet jack, moving dollies, hand trucks and other material handling equipment;
- Organizing and keeping records;
- Mechanical adaptability for solutions to maintenance problems;
- Utilizing well-developed verbal skills to present and exchange information, which can be technical and complex.
